We are seeking a dependable, organized, and highly professional Senior Administrative Assistant to support the Executive Director and senior management team at a premier private community. This is a key role for someone who thrives in a fast-paced office, enjoys juggling priorities, and brings strong communication and problem-solving skills to every task.

Location

This is an onsite position based in Santa Fe, NM, within a professionally run, community-focused office.


What You’ll Do

  • Provide direct administrative support to the Executive Director and management team

  • Oversee day-to-day office operations and maintain a professional, welcoming front-office presence

  • Prepare, proofread, and distribute reports, presentations, and Board materials with a high level of accuracy

  • Assist with Board communication and documentation

  • Coordinate projects and timelines across departments (Resident Services, Communications, etc.)

  • Support special initiatives from start to finish—ensuring structure, clarity, and follow-through

  • Maintain office supplies, records, and equipment in collaboration with Reception

  • Troubleshoot operational challenges and implement or recommend solutions

  • Uphold confidentiality and handle sensitive information with sound judgment

  • Contribute to and model a respectful, responsive, and solutions-focused office culture


Who We’re Looking For

  • Minimum of 3 years of administrative or office experience (supporting senior leadership preferred)

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

  • Excellent written and verbal communication skills, grammar, formatting, and attention to detail

  • Ability to prioritize and multitask in a fast-paced, deadline-driven environment

  • Friendly, courteous, and professional demeanor with internal teams and external stakeholders

  • Strong critical thinking and organizational skills

  • Discretion and reliability in managing confidential information

  • Self-motivated, team-oriented, and proactive with a continuous improvement mindset
